Before Your First Appointment

After you submit an appointment request, our scheduling team reviews your information and follows up by phone. We may discuss the service you are requesting, provider fit, availability, insurance, location preference, telehealth options, and next steps.

Once your appointment is scheduled, you will receive a confirmation text with appointment details and a welcome email with instructions for setting up your secure client portal. After your portal access is created, you can log in to complete required documents, review appointment information, and access forms shared with you.

You can also return to the portal later by clicking the Client Portal link on our website.

New clients typically complete intake paperwork, privacy notices, consent forms, and other required documents before the first appointment. These forms help your provider understand your needs and allow services to begin appropriately.

Most information is collected electronically before your appointment. You may upload helpful documents through the client portal, such as previous evaluations, medication lists, school reports, or records you would like your provider to review.

Scheduling, Billing & Updates

Call our office at (419) 318-8533 if you need to reschedule or cancel an appointment. Please contact us as early as possible, since cancellation policies and fees may apply when appointments are missed or changed without enough notice.

When you provide insurance information, our billing team completes a general coverage check to help confirm whether your plan appears active and whether we participate with the plan. We can usually answer general insurance and payment questions and help explain what information we are seeing on our end.

Because benefits, deductibles, copays, coinsurance, authorizations, and final claim processing are controlled by the insurance company, we also encourage clients to contact their insurance provider directly for detailed benefit questions. This helps reduce surprises and gives you the most accurate information about your specific plan.

Self-pay options may be available for some services. Our team can review available options during the scheduling process and help explain payment expectations before care begins.

You can update contact, insurance, and demographic information through the secure client portal. You may also call our administrative team if you need assistance with updating your information.

Communication, Telehealth & Support

Our administrative team can help with portal access, forms, demographic updates, and onboarding questions. You can call the office at (419) 318-8533 for assistance.

For non-urgent updates or questions between sessions, call our office at (419) 318-8533. Our scheduling or support staff can relay appropriate non-emergency messages to your provider.

Immediate responses from providers are not guaranteed because schedules, clinical hours, days off, and availability can vary. If your provider sends a response or gives instructions, our team will relay that information back to you as soon as it is available.

Appointment type is discussed during scheduling and will be reflected in your appointment confirmation. Depending on the service, provider, clinical fit, and your location in Ohio, appointments may be scheduled in person or by telehealth when appropriate.

Toledo Counseling & Mental Health is not an emergency or crisis-response service and is not set up to provide immediate emergency care. If you are experiencing a medical or mental health emergency, call 911 or go to the nearest emergency room.

If you are experiencing thoughts of suicide, emotional crisis, or need immediate support, call or text 988 to reach the Suicide & Crisis Lifeline.
