What to Know About Insurance Coverage

Insurance coverage for mental health services can vary from plan to plan. Even when a provider is in-network, your policy may include certain requirements or patient responsibilities.

  • Copays
  • Deductibles
  • Coinsurance
  • Prior authorization requirements
  • Telehealth coverage rules
  • Session limits
  • Different coverage for counseling and psychiatry
  • Different requirements for child, teen, or family services
  • Coverage differences by provider credentialing or network status

Your insurance company determines final benefits, coverage decisions, and patient responsibility.

Our team can help with general insurance review and billing questions, but we cannot guarantee what your insurance company will pay before a claim is processed.

How Insurance Review & Billing Works

Submit an Appointment Request

The first step is to complete the appointment request form with your contact information, requested service, provider preferences if you have any, and insurance information.

Our Team Reviews Your Information

Our scheduling team reviews your request, including service type, provider fit, age range, location preference, telehealth needs, insurance details, and availability.

Claims Are Processed After Services

Our billing team processes claims daily. After your insurance company processes the claim, any patient responsibility shown on the EOB may be invoiced and charged according to your account and billing policies.

Questions to Ask Your Insurance Company

Because your insurance company determines your benefits, it can be helpful to contact the member services number on your insurance card before beginning care.

  • Do I have outpatient mental health benefits?
  • Is counseling or psychotherapy covered?
  • Is psychiatry or medication management covered?
  • Is telehealth covered for mental health services?
  • Do I have a deductible?
  • Has my deductible been met?
  • What is my copay or coinsurance?
  • Is prior authorization required?
  • Are there limits on the number of sessions?
  • Is the provider I want to see in-network?
  • Are child, teen, couples, or family services covered differently?
  • What is my responsibility if a claim is denied or partially covered?

When calling your insurance company, you may ask about outpatient mental health benefits and reference common billing codes such as 90791 for an initial diagnostic assessment and 90837 for psychotherapy, 53–60 minutes.

Psychiatry, medication management, family sessions, shorter therapy sessions, and other services may use different billing codes depending on the appointment type.

Coverage for Counseling, Psychiatry & Telehealth

Insurance coverage may differ depending on the type of care you are requesting. Some insurance plans process counseling and psychiatry benefits differently. Some plans may cover telehealth but have different requirements depending on the provider, service type, location, or clinical need.

Private Pay & Patient Responsibility

Private pay may be available for clients who prefer not to use insurance, whose plan is not accepted by a specific provider, or whose service is not covered by insurance.

Clients are responsible for any amounts determined by their insurance plan, including copays, deductibles, coinsurance, non-covered services, missed appointment fees, late cancellation fees, or denied claims.

A card on file is required before the first appointment for most clients, except Medicaid clients. Card information is stored securely through our electronic payment system and processed through Stripe. Our team does not have access to full card numbers after they are saved.

Accepted payment methods may include major credit cards, debit cards, HSA/FSA cards, and checks. Cash and money orders are generally not accepted.

Our team can help answer general billing questions, but your insurance company determines final benefits and patient responsibility.

If Your Insurance Changes

Please notify our office as soon as possible if your insurance changes, your plan terminates, you receive a new insurance card, your coverage changes, or your primary/secondary insurance order changes.

Updating insurance information promptly helps reduce billing delays, claim issues, and unexpected patient responsibility. You may be responsible for balances that result from inactive coverage, incorrect insurance information, denied claims, deductible changes, or plan changes that were not updated before services were provided.
